    • 1 year after my IP phone implementation, I am bit sad now..

      Last year at this time we were tossing up a few IP phone options for our Oz office. Then we chose LG IPEC system over Mitel system, latter being an expensive solution for our small office with only 15-20 people. Throughout the sales talks, LG IPEC sales person continuously talked about the many “features” of the system.

      However, 1 year after the implementation, I feel very sad every time I look at my desk phone! It is nothing better than my old, digital PBX system!!

      There is no real control from their web console as most the “programming” are done directly from the phone by their technicians by pressing a bunch of codes. Even selecting a name from the address book is unusually difficult - I do not want to go into the details.

      Now the guys have sent me a quote for renewing the maintenance contract with them for next year which I know I have to sign up if I want to keep this system with me in a responsive state.

      I have heard a lot about virtual PBX, but;

      1. would it work with physical ISDN/analog phone lines?
      2. Could we install and manage those by ourselves?
      3. Would it be possible for us to use our existing IP based desk phones with these systems?
      4. Are there anyone else out there who has gone through similar situation?

      @scottalanmiller Technically "virtual data room" is similar to file server and primarily accessed over a browser session. In addition to the standard file server features, it may also include features like-

      1. Bulk watermarking of documents
      2. "View only" mode for documents
      3. Real time activity logs
      4. Remote document shredding
      5. Fenced view to protect documents from someone taking a photo of the monitor with document open
      6. Q & A section and live discussions etc.

      From a usage perspective, our "virtual data room" is shared between a bunch of firms (like insurers, lawyers, auditors, investors, engineering and construction companies etc) with different access levels who are working towards the completion of a specific project which may take 2-5 years to complete (please note, we are into wind/solar farm development). So I surely do not want all these guys on my file server doing crazy things like creating users and modifying originals.

      At the moment, I am thinking of evaluating https://www.idealsvdr.com/virtual-data-room-features/ to see if they are worth switching from my current provider.

      @BRRABill Some simple sensible auditing!

      With Citrix ShareFile, I can't see those users/groups created by other employees even with my super user account and Citrix call it as a "security feature"!

      From an IT admin perspective, if my boss ask for an audit report, I will then need to either request those employees to share the users/groups created by them with me or call up Citrix support and wait for the level 3 engineer to generate the report from backend and send it to me next day!!

      @scottalanmiller Are you using NextCloud as a file server or a virtual data room?
      I am using Egnyte Cloud as my file server but surely do not want to enable 3rd party access on it and that is why I went for a separate, dedicated virtual data room service from Citrix.

      I am using Citrix ShareFile service at the moment and I would like to know what others are using out there.
      (I have been using ShareFile for 4-5 years but thinking of switching to something better due to its limitations when it comes to auditing and reporting)

      @StrongBad I bought WD WD80EFZX 8TB Red 3.5” IntelliPower SATA3 NAS Hard Drive
      In fact I didn't worry much about the disk spec. as this data is used rarely for reference purpose and I do have a copy of this data offsite.

      @nadnerB Thank you for the help.

      It will be a basic website with some static content, no eCommerce involved.
      In fact, I had setup a demo version on Wix and management is pretty OK with the design and template. However, I am not a web designer and I wanted to get this job done by a pro. We should also be able to maintain and update it regularly by ourselves. At this point in time, we are thinking of hosting with Wix but open for other options if your friends could suggest something else.

    • No 2 step verification for a cloud based email backup/archival solution!

      I have been using Backupify for more than 6 years to backup and archive my Google Apps domain but the guys still do not have any plan to implement 2 step verification! Absolutely unbelievable!!

      @Francesco-Provino This data needs to be onsite due to the size of files and nature of usage, so cloud hosting is not an option.

      I ended up buying the Synology Diskstation DS2015 with 8 x 8TB hard drives.
      Now waiting for the shipment..:)

      I have around 38 TB, less frequently used (say, once in a week) data, spread across a few machines.
      Now I got the green signal to buy a NAS box to consolidate this data and would like to know what do you think of getting a QNAP or Synology or any other better box.

      In terms of access requirement, i should be happy if it comes with

      1-1Gbps LAN
      2-Windows/Linux/OS X client support
      3-RAID5/10 (please let us not discuss this further in this thread)
      4-Rack (or tower)
      5-Redundant power supply

      This will be a standalone NAS, no plans for iSCSI.

      @Ambarishrh: It is hard to predict the number of users. Main purpose of this platform is to share and negotiate deals with our contractors, sub-contractors, external firms like banks, lawyers, insurance, equity, advisory boards etc. To backup a little bit, we are into developing wind and solar farms and a lot of 3rd parties are involved throughout the span of the project.
